  • If you are logging in for the first time you will need to contact the MIBFA Call Centre on 0860 102 544 in order to activate your password.
  • Don't forget, the online contribution submissions tutorial is there to help you learn and understand this process.

FOLLOW THESE STEPS.

Select the Contributions Submission button.

 
    Enter your company reference number and password.
     
 

A menu will appear with a number of selection items

 

If you are a 1st time user, please go to employee management.

   

This is where you will add new employees, discharge employees, change employees details or permanently remove employees.

 

For existing users, please perform employee management prior to capturing new levies/contributions.

   

Employee maintenance must always be performed prior to selecting the option to complete a new month’s payment.

When an employee terminates their services, the date of discharge needs to be capture during the month of termination. The member will be removed from the return, but will be left on the list of all employees under the employee management function.

To delete old employees that have left your employment long ago, select the DELETE option. This will remove the employee permanently.
 

To complete a new month’s return please select Capture new submission/Modify existing submission.
This is where levy and/or contribution amounts are captured for the various Bargaining Levies, EIPF, MIPF and Sick Pay Funds.

Each employee’s amount must be captured. If the amount block is protected, the Levy/Fund combination for this employee must be modified (with the employee management function).
 

Once you are satisfied that the forms have been completed correctly, indicate that the forms are ready for submission. This is done by selecting the READY button of the summary page (after the Sick Pay return).

(If you have not completed your work and need to save and return at a later stage to complete, press NOT READY).
   

Once the READY button has been selected, no changes can be made.

This information will be automatically transmitted to MIBFA for processing.
 

Ensure that payment is deposited into the relevant Funds bank account the same day.

   

Delays in payment result in various problems for the employer, the Funds and the Administrators.

Late payments or late submission, and incomplete contribution returns are regarded as an offence in terms of the Pension Funds Act. Trustees are obliged to report non-compliance to the authorities.

 

Quote your companies reference number (e.g. 5B01234) in all deposits that are made into the Funds bank account.

   

This will enable linkage to your company contribution schedule/returns.

 

Reconcile the total amount deposited into the Funds bank account to the total amount of the contribution schedule.

 

Ensure the amounts match.

   

This is a legal requirement. Employers are encouraged to make every possible effort to submit simultaneous payment and contribution schedules.

 
 

NOTE THAT REMITTANCE OF CONTRIBUTION PAYMENT AND REMITTANCE OF RETURNS ARE REQUIRED BY THE 7 TH DAY OF THE MONTH FOLLOWING THE MONTH THAT THEY ARE DUE.

USING THE RECOMMENDED METHODS OF REMITTANCE WILL BENEFIT ALL PARTIES CONCERNED.
